Originality of invoice

Unlike paper or PDF invoices, the operation history of both the Supplier and the Buyer is displayed for each invoice, ensuring reliability. There is no "copy of invoice". Invoices returned after being sent (or received) are automatically stored and managed separately from valid invoices, allowing both parties to accurately manage accounts receivable and prevent double payments.

Tax compliance

Tax amounts are calculated correctly and are compliant with the tax systems of each country. Both the supplier (sending organization) and the buyer (receiving organization), not just "one or the other," comply with the Electronic Bookkeeping Act. There is no need for either party to be aware of document regulations, and no electronic signatures or time stamps are required.

The sender simply logs into BankInvoice, clicks on "Create", and in the "DRAFT" section, they can manually input data into the newly created invoice as if they were inputting data into a spreadsheet, attach files, and send the invoice to an email address just like an email. *Digital quotations, purchase orders, etc. can also be created and sent.

to Corporate No. & Department

By registering as a sending department (by sales office, construction site, etc.) on a network such as Peppol on BankInvoice, the sender can send to the "corporate number" of the organization registered as a receiving organization (by organization) on the network such as Peppol. Since sending to the "corporate number & department" is possible for organizations registered as receiving organizations on BankInvoice, even if the person in charge changes, sending can be ensured to the new person in charge (Last mile).

No purchasing system required

Even if a sales representative receives an order through an order system (including industry-specific EDI, standard EDI, etc.), the department (sales office, etc.) that sends the invoice can use BankInvoice to reliably send a Digital Invoice "addressed to the corporate number and department" with an estimate attached to the department and person in charge without using the order system. The sent Digital Invoice can be separated from the order data and managed centrally by the entire organization for each department.

The sender can click "Sent" status to confirm that the sending was completed if the invoice is there. If the invoice is "Read", it confirms that the recipient has reviewed the data, and if the recipient status is "Confirmed", it confirms that there are no deficiencies. If it is "Payments Out", it confirms that the payment is scheduled/completed.

Recipients will be notified by email when a Digital Invoice arrives. They can view the invoice and attachments in that email without logging in or registering an account. *You can also receive digital quotations, purchase orders, etc.

Recipients can register (by organization) as a receiving organization on a network such as Peppol on BankInvoice, create a receiving department (group), and invite members of the organization to receive invoices addressed to the "corporate number and department" and share them with the invited members (last mile). Since the data has been allocated by department, data linkage to accounting systems, etc. can be automated.

No purchasing system required

Even if a purchasing person places an order through an order system (including industry-specific EDI, standard EDI, etc.), the organization or department that receives the invoice can use BankInvoice without using the order system to receive Digital Invoices addressed to the "corporate number & department" with attached quotations, etc., and then distribute them to the person in charge. The received Digital Invoice can be separated from the order data and managed centrally by department and the entire organization.

, the recipient can view the Digital Invoice, download the PDF or attachments, click to "Confirm" or "Send Back", or send a message to the sender. The recipient does not need to register an account or log in.

The recipient can log in and view the invoice received in "Unopened". If there are no problems with the invoice, they can click "Confirm" (optional), and if there are problems, they can click "Send Back" to return the invoice to the sender with a message explaining the reason for the return and request that it be resent or discarded.

How to use (API)

  • Using API, you can create, send, receive, confirm, and return Digital Invoices on your internal systems
  • You can digitize invoices on systems that your internal users are familiar with, without increasing the number of systems they use
Use of API by sender:

For invoices sent from sales offices other than the head office, each sales office staff member can create and send invoices without using API by manually entering data or uploading CSV data on BankInvoice, and invoices sent from the head office can be sent in bulk using API. Note that the receiving organization (Buyer) will receive invoices by email or BankInvoice even if they do not have an account.

Use of API by receiver:

After receiving an invoice via BankInvoice, you can send back it on BankInvoice and request it to be resent or discarded, and then automatically import the CSV file of the invoice that you have finally confirmed (approved) into your internal system at regular intervals.

Use of API by receiver (large scale):

Invoices received by BankInvoice can be imported into workflow, accounting systems, and ERP databases at regular intervals, and can be received, sent back, and approved on those internal systems. By linking the status of the final approval (payment confirmation) data to BankInvoice, you can also send a payment confirmation notice to the sending company.

”Digital Invoice Superhighway” enables frictionless interdepartmental alliances across government, business, and industries.
